How to Prepare PDF and Word Documents for AI
Convert documents into clean, reviewable text while preserving headings, lists, links, and essential meaning.
Why document cleanup matters
PDF and Word files contain presentation information that may not help an AI answer a question: page furniture, repeated headers, isolated page numbers, layout coordinates, and styling metadata. Extracting readable Markdown makes the hierarchy visible and easier to inspect before submission.
Use the right extraction path
Text-based PDFs can usually be parsed directly. Scanned PDFs contain page images and require optical character recognition first. DOCX files preserve headings and lists more reliably when the document uses real styles instead of manually enlarged text. Plain text files need only whitespace cleanup.
Inspect the result
Check names, dates, numeric tables, equations, footnotes, and multi-column sections. PDF reading order can differ from visual order. A converter can produce fluent-looking text while placing a sidebar or table cell in the wrong position. Compare important passages with the source.
Keep useful structure
Markdown headings communicate hierarchy with little overhead. Bullets keep parallel items distinct. Links should retain their visible label and destination. Delete decorative elements only after confirming that they do not convey status or meaning.
Handle large documents in stages
Clean the document first, then divide it along headings or paragraph boundaries. Add a short source label to each chunk so answers can be traced back. Ask focused questions over relevant sections rather than pasting the entire file into every request.
Privacy before upload
Review the extracted text for personal, confidential, or regulated information. Remove or replace sensitive values before sending content to an external AI service. Local conversion reduces one transfer, but the later destination still has its own data policy.
How to validate your result
Keep the original and transformed versions while you test. Select several representative examples, including a typical case, a long or complicated case, and an input with unusual formatting. Run the same task with each version and compare factual accuracy, completeness, formatting, latency, and reported token usage. A transformation is useful when it reduces avoidable material without changing the evidence or instructions needed for a correct answer.
Do not judge the workflow from one successful response. AI output varies, so repeat important tests and review failure cases. For automated work, add checks for required fields and expected source references. Record the tool settings used so the result can be reproduced. When exact limits, billing, privacy, or compliance matters, confirm the result against the current documentation of the AI provider and your organization’s policy.
Apply this workflow locally in your browser and inspect the result before use.
