How to Remove Personal Data Before Using AI Tools

A cautious workflow for identifying, replacing, reviewing, and restoring sensitive information.

Decide what the task really needs

Before sharing text, ask whether names, email addresses, phone numbers, account numbers, exact locations, or credentials are necessary for the result. Most summarization, classification, and rewriting tasks work with placeholders.

Replace values consistently

Stable labels such as [EMAIL_1] and [CUSTOMER_2] preserve relationships without exposing the original values. If the same person appears several times, use the same label each time. Keep the mapping outside the prompt and protect it like the original data.

Understand pattern limits

Regular expressions can detect common email, phone, IP, card, and identifier shapes, but they produce false positives and false negatives. Names and street addresses are especially difficult because ordinary words can look like names. Automated detection is a first pass, not a guarantee.

Review the full context

Read the transformed text. Look for information that identifies someone indirectly, including job title plus employer, rare medical conditions, case numbers, exact dates, or a combination of location and event. Remove secrets such as API keys and passwords completely rather than mapping them for restoration.

Check the destination policy

Local anonymization means the replacement step occurs in your browser. When you later paste the result into another service, that service’s retention, training, access, and regional processing rules apply. Follow your organization’s policy and applicable legal requirements.

Restore only where necessary

If an AI response must be reconnected to real records, restore placeholders in a controlled local workflow. Validate the mapping, restrict access, and avoid replacing text through loose substring matches. For high-risk or regulated work, use approved systems and obtain professional guidance.

How to validate your result

Keep the original and transformed versions while you test. Select several representative examples, including a typical case, a long or complicated case, and an input with unusual formatting. Run the same task with each version and compare factual accuracy, completeness, formatting, latency, and reported token usage. A transformation is useful when it reduces avoidable material without changing the evidence or instructions needed for a correct answer.

Do not judge the workflow from one successful response. AI output varies, so repeat important tests and review failure cases. For automated work, add checks for required fields and expected source references. Record the tool settings used so the result can be reproduced. When exact limits, billing, privacy, or compliance matters, confirm the result against the current documentation of the AI provider and your organization’s policy.
